*You are eligible for the Master's student fee if you are a Master's student within the academic year 2022-2023. A certificate of enrolment or a letter signed by your supervisor needs to be provided by e-mail (bivec2023@kuleuven.be) to confirm your registration.
The registration fee includes:
- Access to all conference lectures;
- Conference programme and materials;
- Lunch (on Friday June 2nd, 2023) and coffee breaks (Thursday, June 1st, 2023 - Friday, June 2nd, 2023);
- Conference dinner on Thursday, June 1st, 2023.
All registration fees are VAT exempt based on article 44 § 2, 4° of the Belgian VAT directive. Registration fees are to be paid in Euro (€) by bank transfer, credit card or invoice.
Registration process
To register, please complete our registration form. You can find our registration tool by clicking on the Register button at the top of this page.
The registration form for individual registrations consists of 5 steps:
- Step 1 - General information: please include your personal information on this page. Please note that we will use the e-mail address provided for all information regarding the BIVEC-GIBET Conference.
Step 2 - Promo code: this page is only applicable to LOC members and keynote speakers. If you did not receive any code from the organisation, you might click on 'Next'.
Step 3 - Select your fee: please select the fee that is applicable to you. The registration will stay open until 16 May 2023.
Step 4 - Social activities: Please indicate here if you want to attend the conference dinner. The conference dinner is included in the registration fee, but you have to indicate if you will attend this activity.
Step 5 - Payment information: in this final step, you can indicate your preferred method of payment. You can pay via credit card or bank transfer. If you, however, require an invoice, please select 'bank transfer' in the final step of your online registration and contact bivec2023@kuleuven.be. The invoice will be sent to you by e-mail, including corresponding payment instructions. Please do not pay before receiving the invoice.
Important invoice information: If you have already paid your registration by credit card or bank transfer, you will still be able to receive proof of payment indicating the amount; however, it will no longer be possible to receive an official invoice. Therefore if you require an invoice, please contact us first and wait for your payment until you receive our invoice!
You will receive a first e-mail with an automatic confirmation that the registration has been received. This e-mail will also contain all payment details. All payments should be made in advance in Euro (EUR, €) within 14 days after your registration.
After payment, you will receive a second e-mail confirming that we have received your payment.
If you did not receive these e-mails, either your registration or payment was unsuccessful. Should this happen, please contact bivec2023@kuleuven.be.
Cancellation policy
The conference office must be notified of the cancellation of registration via bivec2023@kuleuven.be:
- Until March 31st, 2023: the registration fee will be refundable (minus €25 administrative cost)
From April 1st, 2023, until April 30th, 2023: the registration fee will be 50% refundable
From May 1st, 2023, onwards: no refunds will be made
No refunds will be granted to non-attendees
Cancellations will be accepted in writing only (bivec2023@kuleuven.be) and must be received by the stated cancellation deadline. All refund requests must be made by the attendee or credit card holder. Refund requests must include the name of the attendee, the bank account number used during your transaction and/or the transaction number.
